Client Services Administrator

The Law Offices of Jenny Ling, PLLC's mission is to support families and small business owners in their legal life planning.  This is a part-time position great for someone who needs a bit of flexibility in their schedule, and is looking for work that positively impacts  families and local businesess. This position may turn into a full-time position as the firm continues to grows

Summary: Ensures Efficient Operation of Firm

Responsibilities:

  • Administrative duties associated with firm business
  • Comfortable learning new software
  • Manage Client and Referral Database
  • Reserve conference rooms
  • Data Entry
  • Prepare marketing materials
  • Set and Confirm Appointments, and Send Appointment Reminders
  • Prepare Materials for Attorney Appointments
  • Word Processing - Uses Table of Contents, track changes, and formats using Styles. Performs comparisons,
  • Manage Website and Social Media
  • Meets deadlines and produces consistently accurate work product.
  • File Organization such as maintaining attorney and client files
  • Communication – Communicates well with attorney, clients, referral partners and team members. Maintain and manage schedule for attorney. A pleasant and positive demeanor is a must.
  • Additional Tasks as needed to ensure the efficient operation of the firm

Essential Skills:

  • Proficiency with Microsoft Office products (Word, Outlook, Excel)
  • Discretion with confidential information
  • Professional and Customer service orientated
  • Motivation and willingness to learn new material
  • Ability to type accurately and proficiently
  • Strong verbal and written communication skills
  • Excellent grammar, punctuation, spelling and proofreading
  • High degree of attention to detail
  • Ability to work in a team-oriented environment
  • Ability to prioritize tasks and to complete projects with minimal supervision
  • Must be reliable and dependable
  • Planning and organizing skills
  • Ability to take initiative, multitask, prioritize, and meet competing deadlines
  • Technology Savvy
     

Education & Experience:

  • Associate's or Bachelor's degree preferred
  • Prior law office experience preferred

Work Hours

  • Part-time to start 15-20hrs/week. Work from home and in our office.
  • Must be available to come into the office on Mondays
